OFFICE ADMINISTRATOR VACANCY

Applications are invited for the post of Office Administrator at Quiet Waters. This is a part time post for 18 hours per week. These hours will normally be based in our office in Camelon. The days to be worked will be negotiable with the Practice Manager and the Board.

The salary will be £24,000 pro rata The closing date for applications is 22nd November 2023.

Job Description

Job Purpose

To assist the Practice Manager in delivering the services of Quiet Waters to support clients and volunteers.

The Position

The job is challenging and varied and includes:

Office Administration

Under the direction of the Practice Manager you will be involved in office administration including:

  • collating and reporting on referrals data.
  • financial administration, including but not limited to raising and settling invoices, banking money
  • dealing with office correspondence
  • ordering office supplies and Quiet Waters promotional literature assisting with the organisation of events
  • processing requests for information from the public, supporters and funders. This will involve preparing and distributing our promotional materials and the Quiet Waters newsletter.

You may be involved with the maintenance and development of our IT systems.

You will attend and take minutes at Trustees meeting (there are about 5 of these per year in the evenings).

Quiet Waters Volunteers and Clients

Under the direction of the Practice Manager, you will take telephone referrals from clients and carry out initial processing of these.

When required, you will welcome clients to the premises and support volunteers with the administrative aspects of their role.

Grant Applications

You will have a major role in sourcing funding and financial support for Quiet Waters under the guidance of the Treasurer and Chair of the Board. This will involve making grant applications.This is a major part of the job.

Management and support

Line Manager: Practice manager

On a day to day basis. you will work under the direction of the Practice Manager.

The work requires a self- motivated individual able to work in a team but also able to work independently (there will be times when the jobholder will be alone in the office). The job requires liaising with other agencies.

Good communication skills are essential and some familiarity with the world of counselling would be an advantage but is not essential. An understanding of the need for and the ability to maintain confidentiality are essential.

The jobholder will have a demonstrable Christian commitment.
